IMMERSION CONTRACT

Please carefully read the following and sign below to confirm your understanding and agreement. This signed Agreement and your completed intake form are required to secure your place in the Immersion.

It is our intention to create a space for you to experience a return to your intrinsic nature. The purpose of this Agreement is to create the boundaries that will support us in providing a safe and respectful Immersion environment. Your compliance with these boundaries is essential to ensure that everyone involved can enjoy this opportunity for deep reflection and personal growth. If any part feels unclear or unfair, you are welcome to reach out and discuss it with us before signing.

1. Refund Policy

There are strictly no refunds for this Immersion, as stated, signed, and agreed upon on the time of booking.

If you are unable to participate in the Immersion due to extreme circumstances beyond your control, such as major illness or family emergency, you may apply to transfer to one of our next offerings or offer/sell your position directly to a friend. 

Approval of a transfer is at our sole discretion. You will need a doctor’s certificate or supporting documentation to show proof of the circumstances.

If this Immersion needs to be canceled due to external circumstances beyond our control, we will first attempt to reschedule to a time within 6 months of the expected start date. If you are not able to make the rescheduled date, or if we have to cancel the immersion altogether, we will correspond with you to arrange a refund.

A ‘change of mind’ or choosing to withdraw from the course at any stage does not meet the criteria for a refund. Your enrolment secures a place held exclusively for you, which is factored into staffing, resourcing, venue, material preparation, and overall program budgeting. Once the container has commenced, this place cannot be reallocated or resold, and the financial commitments associated with your enrolment therefore remain in effect.

2. Payment Terms

All prices are in Australian dollars and inclusive of GST. Payment is required by credit card or direct debit via Stripe. We do not have access to your credit card details.

If you experience any difficulty in meeting your agreed payments, you must contact us before your next invoice is due to discuss the situation and arrange an alternative payment plan.

If your payment is late, you will receive three automatic reminder notifications. If payment is still not received, a team member will reach out to check if there are extenuating circumstances. This will incur a $35 administrative fee, which covers the setup of a new payment plan.

If you miss a payment date and do not respond to reminders, your participation will be considered cancelled. All payments made to date are non-refundable, and any outstanding balance on your payment plan will still be owed in full.

If payments remain unpaid after this point, your account may be referred to a debt collection agency.

Communication

We’ll send important updates via email and WhatsApp, so please provide your best email and number and check both regularly. A private WhatsApp group will be created for your cohort. 

It is not our responsibility if you miss any important communications sent to the email address or WhatsApp number you provided. It is your responsibility to check your notifications regularly.

3. The Dance School Content & Structure

This body of work is guided by the live field of energy, so the structure may evolve in subtle ways to best serve the group. We ask participants to remain open and flexible. Outcomes may differ from expectations, and your experience will ultimately depend on your own level of presence and engagement. Content changes will be of equal value, and do not warrant refunds. As we use third-party venues, we are not liable for any venue-related issues outside our control.

4.Trauma-Informed Facilitation and Emotional Requirements

Eclectica Hub is a trauma-informed space. Our facilitators are trained to hold emotional processes with care, and our work is intentionally designed to support regulation, reflection, and integration.

While we do not seek or intentionally provoke catharsis, this is not a trigger-free space. We prioritise nervous system regulation and aim to support participants to remain within their optimal window of arousal, however triggers and strong emotional responses may surface organically as part of transformational work.

We do not offer therapy and are not mental health professionals. If you have a history of complex trauma, PTSD, or emotional dysregulation, we strongly recommend engaging with a qualified therapist alongside this work.

You are responsible for honouring your own window of tolerance. Our facilitators can support you in discerning what feels safe and manageable, and what may sit outside that range. All practices are offered as invitations, not expectations. You are encouraged to listen to your body, honour your boundaries, and choose what feels supportive. We uphold your sovereignty at all times - and we are here to collaborate with you in deepening that trust in yourself, and your body's communication with you.

While our facilitators are committed to supporting regulation within sessions, we cannot be responsible for unprocessed trauma that may emerge beyond the scope of this container. It is your responsibility to seek additional support if needed.

If you have sensitivities to sound, touch, or environmental factors, please inform us in advance so we can do our best to support your safety and comfort.

By signing this Agreement, you acknowledge that you are participating voluntarily, that you are responsible for your emotional wellbeing, and that you understand this work may activate deep internal material.

5. Our Responsibilities as Facilitators

As trauma-informed facilitators, our role is to:

  • Hold a safe, respectful, and attuned container where emotional expression is welcome but not forced.
  • Support regulation of the group field and model grounded presence. Offer practices, invitations, and tools that honour consent, personal agency, and nervous system awareness.
  • Respond to visible signs of dysregulation with care, compassion, and containment, without overriding your process or autonomy.
  • Create spaciousness for integration and allow participants to go at their own pace. Give content warnings when we anticipate practices may be activating.
  • Avoid pushing participants into catharsis or disclosure; we do not seek breakthroughs or emotional release as proof of progress.
  • Provide options and modifications so that you can honour your own window of tolerance.
  • Maintain professional boundaries - we support you, but we do not rescue, fix, diagnose, or therapize.
  • Encourage aftercare and referrals to qualified therapeutic or psychological support when appropriate.

6. Your Responsibilities as a Participant

As a participant engaging in this type of therapeutic work, you are responsible for:

  • Being aware of your own emotional and physical boundaries and honouring them throughout the experience.
  • Letting us know if you have PTSD, significant trauma history, or specific sensitivities, so we can better support you.
  • Staying within your window of tolerance, or communicating if you’re approaching overwhelm.
  • Practicing self-regulation to the best of your ability (with our support when needed). Taking full ownership of your triggers, emotions, and choices.
  • Choosing whether or not to participate in any activity - your sovereignty is respected at all times. And you are wholeheartedly in charge of how deep or subtle you choose to go.
  • Asking for support if you feel overwhelmed, confused, or unsafe (we are here to help guide, not to force or fix).
  • Seeking additional therapeutic or psychological support outside the Immersion if deeper issues arise that are beyond the scope of this work.
  • Respecting the shared space - being on time, minimizing disruptions, and tending to your energy in the group field. Recognising that your personal, individual needs might not be congruent with the needs of the whole group.

7. Self Rehearsal

Please note that depending on your level of dance and learning style, the hours we have together in the studio are generally not enough for students to fully retain all the choreography alone. In order to fully integrate the choreography of the dance piece you learn, all students need to allocate time for self-rehearsal. By signing this contract, you are agreeing to devote at least 20 minutes for self-practice per day, or, if you’re on one of our longer intensives, at least 40 minutes - one hour of practice per week. Not practicing does hold back the group and means we can’t move together at the pace everyone else has practiced for.

8. Confidentiality & Group Integrity

It is our intention to create a space of safety at the Dance School, so participants are able to be vulnerable and open about their needs and fears. We may enter into personal and sensitive areas during discussions.

Please choose mindfully what you share with the group and how you comment on experiences that others choose to share. We ask that you honour the privacy of others and hold their shares and experiences in confidence. Do not offer advice or act in the role of coach or healer unless explicitly requested.

9. Care for property

Please be respectful of the venue and its surrounding environment. All participants must keep the venue’s fixtures, fittings, furniture, and effects in a clean and good condition and shall replace any articles which are destroyed or missing with articles of a similar kind and of equal value.

10. Care for your belongings

We are not liable for any theft, loss, or damage to any of your personal belongings during the Intensive. This includes any items left behind in your room or left unattended at the Intensive venue. Please take appropriate care to ensure your belongings are safe.

11. Drugs, Alcohol, Smoking & Medical Care

Due to the shamanic nature of this work, we ask that you refrain from alcohol, drugs, or other intoxicants for at least 48 hours before the Intensive. Please arrive each day well-rested, nourished, and grounded so you can fully receive the experience.

Continue taking any prescribed medications and remain in contact with your treatment team if under medical care. This work is not a substitute for therapy or medical treatment, and nothing offered is to be considered medical or mental health advice. Please consult your healthcare provider before making any changes to your care.

12. Health & Fitness

This Intensive includes movement, dance, and a lot of moving of the body. Please assess your own capacity and speak with your doctor if you have any health concerns.

You are responsible for listening to your body and only participating in what feels safe. All practices are optional, and you are free to modify, pause, or step out at any time.

By signing this Agreement, you confirm that your participation is voluntary and that you do not have any medical conditions or injuries that would prevent safe involvement. If you feel unwell or unsure at any point, you agree to stop and seek appropriate care. You understand and accept that participation is at your own risk, and the facilitators and organisers are not liable for any injury incurred during the Immersion.

13. Voluntary participation in activities

Your participation in this Immersion is entirely voluntary and undertaken by your own free will. You understand that emotional and physical responses may arise, and you agree to take full responsibility for your wellbeing throughout the experience. This includes assessing your own capacity to participate, monitoring your nervous system, and modifying or stepping out of activities as needed.

We reserve the right to withdraw a participant from any activity if their behaviour may pose a risk to themselves or others. That said, we rely on your self-awareness and the commitments you've made in this Agreement. Our choice not to intervene does not constitute negligence or liability

14. Medical Treatment

If, in the event of a medical emergency, assistance is called on your behalf, you agree to go with the paramedics in the ambulance to the hospital.

15. Photos, videos & other media release

You’re welcome to take your own photos during the retreat - please respect the privacy of others and always seek permission before sharing images that include them. We ask that no images of the altar or ceremonial setups be shared on social media, to honour the sacredness of the space.

Throughout the retreat, we may discreetly capture select moments through photo or video to reflect the essence of the experience. These may be used for future promotional, educational, or commercial purposes.

We generally do not capture or share any footage during moments of deep emotional process, ritual, or ceremony. We respect both your personal and psychic privacy, and filming is done with care and attunement to the group field.

If you prefer not to be photographed or filmed, please let us know at the beginning of the retreat and we will fully honour your request.

Unless you have opted out of video or photographic content, by signing this Agreement you consent to us using your image, voice, or words (in part or whole) for promotional, educational, or commercial purposes. These may be edited and shared across platforms without compensation and with no restriction on time or location.

If you ever feel uneasy about the use of your image, please contact us directly and we’ll do our best to address your concerns with care.

16. Intellectual Property

Much of what we share in this Immersion is original and specific to Eclectica Hub - created through years of lived experience, refinement, and care. While some tools and practices may resemble those found in other therapeutic or movement spaces, the unique structure, language, ceremonial flow, and context we offer remain the intellectual property of Eclectica Hub.

You are warmly encouraged to integrate what you’ve learned into your life, language, and personal practice. However, this does not permit you to teach, replicate, adapt, or facilitate the specific exercises, ceremonies, or frameworks from this Immersion in public or professional settings without written permission.

This Agreement is not a facilitator training, and you are not being initiated to deliver or teach this body of work. We ask that you respect the container and the creative labour behind it. If you're ever unsure what’s okay to share or use, please reach out - we’re happy to clarify.

17. Indemnity & Limitation of Liability

By participating in this Immersion, you acknowledge that you are doing so voluntarily and take full responsibility for your physical, emotional, and mental wellbeing.

You agree to release and indemnify Eclectica Hub and its team from any liability for injury, loss, or damage arising from your participation, to the fullest extent permitted by law.

If, for any reason, this waiver is deemed unenforceable, you agree that our total liability will not exceed the amount you paid to attend this Immersion.

18. Dispute Resolution, Feedback & Complaints

Complaints
Eclectica Hub is committed to high-quality service and welcomes feedback to support our continual growth. We take all concerns and complaints seriously and aim to resolve them promptly and respectfully.

All participants have the right to raise concerns and will be provided with clear avenues for doing so. Complaints will be managed in accordance with data protection laws, appropriately recorded, and used to monitor the quality, effectiveness, and inclusivity of our services.

Feedback & Feedback Culture
A feedback form will be sent to you after the completion of the Immersion. This is an opportunity to share your reflections, suggestions, and overall experience. Your input is deeply valued and will help us continue refining and improving our offerings with integrity and care. All responses will be kept confidential and used solely for the purpose of service development.

If concerns arise during the Immersion, we ask that you bring them directly to the facilitation team - not to other participants. This helps prevent collusion or group alliances that can distort feedback, create confusion, and compromise the emotional safety of the container.

We welcome honest, respectful communication and are committed to receiving feedback with openness and care. If emotional charge is present, we ask that you take time to regulate and, if needed, seek reflection before initiating feedback. We also acknowledge that in deep spaces, transference, projection, and strong emotional charge may arise. This is a natural part of relational work, and we encourage awareness, curiosity, and open dialogue when this happens.

Dispute Resolution
If a concern cannot be resolved through direct conversation within 14 days, both parties agree to engage in mediation with an independent, neutral mediator. Mediation may take place in person, online, or via phone, and the associated costs will be shared equally.

No legal action may be pursued until all reasonable steps for resolution — including mediation — have been exhausted. In the event of a dispute, both parties agree to refrain from public commentary and to maintain respectful communication throughout. We commit to doing the same.

19. General Provisions

This Agreement reflects the full understanding between you and Eclectica Hub. No other verbal or written statements (outside of your intake form) are considered part of this contract.

Any agreed changes can be confirmed via email, as long as both parties clearly accept the update in writing.

If any part of this Agreement is found to be invalid or unenforceable, the rest will still apply.

When we use the word “includes,” it means including but not limited to— the examples are not exhaustive.

20. Additional Disclaimer for ‘Way of the WombKeeper Participants’

This clause applies specifically to participants of Way of the WombKeeper, a body of work within the Eclectica Hub curriculum that includes optional, self-led somatic practices such as yoni mapping and cervical de-armouring. These embodied rituals are designed to support deeper connection with your intimate anatomy, emotional integration within the pelvic bowl, and the reclamation of personal sovereignty.

These practices are:

  • Self-led and guided by you alone. At no point are facilitators - or any other person - involved in your physical process. Your body is touched only by you, and only with your explicit, ongoing consent.
  • Held within a private and non-visual group container. Each participant turns outward, is covered by a blanket, and is held in complete darkness to maintain personal privacy and deep internal focus.
  • Offered with care, optionality, and attuned pacing. You are never expected or required to engage in any practice that does not feel right for you. Every aspect of participation is invitational, and your ‘no’ is respected without question or explanation.
  • Framed by multiple consent checkpoints. Prior to any intimate self-guided anatomy-exploration, we guide participants through grounding practices, education, and a series of internal consent inquiries - ensuring your body is saying ‘yes’ before proceeding. These include awareness of physical cues, emotional readiness, and the right to pause or stop at any time.

Facilitation and Safety:
This module is guided by qualified sexologists and/or certified yoni mapping therapists with formal training in trauma-informed pelvic care. Facilitators are responsible for holding a respectful, boundaried, and emotionally safe container. They do not witness, engage in, or oversee any physical aspect of your self-guided process. Although theywill be present in the room should you require assistance.

Emotional Considerations:
Because this work may resurface memories, sensations, or emotional responses related to past sexual experiences or trauma, participants are encouraged to approach it with discernment and self-awareness. If you have a history of sexual trauma, complex PTSD, or significant unresolved wounding, we strongly recommend undertaking this module with the support of a qualified trauma therapist.

While we are committed to care, integrity, and trauma-informed principles, this offering is not a replacement for clinical mental health support. If you believe you may need additional emotional resourcing, please let us know ahead of time so we can support you with care.
